Introduction

The Global Library of Scientific Images (“GLSI”) is a project of Huntington Scientific, LLC, a for-profit company with a place of business in Thomson, Georgia, USA.  GLSI is an Internet-based journal for the collection and sharing of scientific and medical images for the furtherance of science and the practice of medicine. We do not knowingly attempt to solicit or receive information from children.

We understand that you are aware of and care about your own personal privacy interests, and we take that seriously. This Privacy Notice describes GLSI’s policies and practices regarding its collection and use of your personal data and sets forth your privacy rights. We recognize that information privacy is an ongoing responsibility, and so we will from time to time update this Privacy Notice as we undertake new personal data practices or adopt new privacy policies.

GLSI is headquartered in the state of Georgia, in the United States of America. GLSI has appointed an internal data protection officer for you to contact if you have any questions or concerns about GLSI’s personal data policies or practices. How we collect and use (process) your personal information

GLSI collects personal information about its Registered Users, who may also submit content for publication, and other customers. With a few exceptions, this information is limited to the Registered User’s username, password, email address, first name, last name, city, state or province, postal code, country, age group, gender, role or position, medical practice type, and medical specialty. We use this information to provide Registered Users and customers with goods and services, including Registered Usership services and User services, as described in our Website Terms of Use. We do not sell personal information to anyone; we do share such information with third parties who are facilitating the delivery of GLSI services and with potential business partners in the furtherance of those relationships (e.g., to solicit the purchase advertising).

1. Personal information you give to us

A. Registered Usership

When you become an GLSI Registered User, we collect information about you including (but not limited to) your username, password, email address, first name, last name, city, state or province, postal code, country, age group, gender, your role or position in the medical industry, your medical practice type, and/or medical specialty. We ask Registered Users to voluntarily provide information in their Registered Usership profile, such as information about their educational background, number of years in practice, and the like. Registered Users may edit their profile at any time to change, add, or remove personal information.

We process your personal information for Registered Usership administration, to deliver User and/or Registered User benefits to you (including publication of content to the GLSI website), and to inform you of GLSI-related events, content, and other benefits or opportunities associated with your use of GLSI. GLSI may also use this information to help GLSI understand our Users’ needs and interests to better tailor our products and services to meet your needs.

GLSI relies on fulfillment of contract as the lawful basis under GDPR Article 6 for processing Registered Users’ personal information.

B. Publication in the Global Library of Scientific Images

GLSI publishes content provided by Registered Users and others.  If you are a Registered User, we will access the information in your Registered User account to accurately present publicly on the website information about the author of the journal content.

If you are a contributor of content to the GLSI website, and you are not a Registered User, we will collect information about you, which may include your email address, first and last name, employer, work and personal contact information, approximate age, country of residence, and scientific or medical area of work or interest, and photograph.

We may collect information provided by Users or our employees or affiliates who evaluate the content you submit to GLSI. We also may make and store a recording of your voice and likeness in certain instances. GLSI relies on a legitimate interest basis for collecting, storing and processing this information.

We keep a record of your participation in GLSI. This information may be used to provide you with Registered Usership and User services, or to tell you about other events and publications. It also may be used to help GLSI understand our Registered Users’ needs and interests to better tailor our products and services to meet your needs.

Some of our services may be sponsored. In such cases, GLSI may provide sponsors, co-sponsors, exhibitors, or potential sponsors with a list of Registered Users, Users, or content contributors. If you do not wish to have your information included in a list of contributors or Registered Users, or to receive information from sponsors, co-sponsors and/or exhibitors, you can express your preferences by contacting GLSI directly at dpo@globallibraryofscientificimages.com. Sharing your personal information with sponsors, co-sponsors, exhibitors, or potential sponsors allows us to keep down the cost to Registers Users and other content providers for publishing with us.

C. Publication of others’ content

GLSI offers a great deal of content for our Registered Users. In addition to producing original content, GLSI may subscribe to news feeds, blogs, and other online content produced by others, which we link to from our website. This means you may find yourself on GLSI website or reading an email from GLSI publications team and we will offer you a link to another organization’s website where you will find content that we find relevant and useful to you. At these times, you will be leaving GLSI website. GLSI is not responsible or liable for content provided by these third-party websites or personal information they may happen to gather from you.

GLSI uses Google Analytics to track how often people gain access to or read our content. We use this information in the aggregate to understand what content our Registered Users find useful or interesting, so we can produce the most valuable content to meet your needs.

We also from time to time may conduct surveys that we use to produce original research on the medical profession. We do not track individuals but look at information in the aggregate only. Participation in surveys is voluntary.

D. Your correspondence with GLSI

If you correspond with us by email, the postal service, through the website, or other forms of communication, we may retain such correspondence, as well as the information contained in the correspondence and use it to respond to your inquiry; to notify you of GLSI publications, or other services; or to keep a record of your correspondence. As always, if you wish to have GLSI “erase” your personal information or otherwise refrain from communicating with you, please contact us at dpo@globallibraryofscientificimages.com.

Note: if you ask GLSI not to contact you by email at a certain email address, GLSI will retain a copy of that email address on its “master do not send” list in order to comply with your no-contact request.

GLSI has a legitimate interest in maintaining personal information of those who communicate voluntarily with GLSI.

E. Purposes for processing your data

As explained above, GLSI processes your data to provide Registered Users with scientific and medical image content for the furtherance of science and the practice of medicine as well as other related content or publications. We use this information to refine our services to better tailor them to your needs and to communicate with you about other services GLSI offers that may assist you in your career or otherwise advance the fields of scientific research and the medical professional. Most of the time, GLSI needs to process your personal data to fulfill this goal – including Registered Usership services, with all the attendant benefits and professional opportunities GLSI provides. Sometimes GLSI has a legitimate interest in processing data to better understand the needs, concerns, and interests of GLSI Registered Users so GLSI can operate optimally as an association and as a business. And sometimes, GLSI relies upon your consent, in which case we will keep a record of it and honor your choices.

F. Payment card information

You may choose to submit content, including scientific or medical images, for publication by GLSI using a payment card. Typically, payment card information is provided directly by Registered Users, via the GLSI website, into the PCI/DSS-compliant payment processing service to which GLSI subscribes, and GLSI does not, itself, process or store the card information. Occasionally, Registered Users or customers ask GLSI employees to, on their behalf, enter payment card information into the PCI/DSS-compliant payment processing service to which GLSI subscribes. We strongly encourage you not to submit this information by email. When GLSI employees receive payment card information from customers or Registered Users by email, fax, phone, or mail, it is entered as instructed and then deleted or destroyed.

2.What happens if you don’t give us your data

You can enjoy many of GLSI’s services without giving us your personal data. Much of the information on our website is available even to those who are not GLSI Registered Users. You can even enter only the minimal amount of information (name and contact information) to your GLSI Registered User profile if you wish, and you can edit your profile at any time. Some personal information is necessary so that GLSI can supply you with helpful content, and to authenticate you so that we know it is you and not someone else. You may manage your GLSI subscriptions and you may opt-out of receiving marketing communication at any time.

Use of the globallibraryofscientificimages.com website

As is true of most other websites, GLSI’s website collects certain information automatically and stores it in log files. The information may include internet protocol (IP) addresses, the region or general location where your computer or device is accessing the internet, browser type, operating system and other usage information about the use of GLSI’s website, including a history of the pages you view. We use this information to help us design our website to better suit our users’ needs. We may also use your IP address to help diagnose problems with our server and to administer our website, analyze trends, track visitor movements, and gather broad demographic information that assists us in identifying visitor preferences. GLSI’s website also uses cookies and web beacons. It does not track users when they cross to third party websites, does not provide targeted advertising to them, and therefore does not respond to Do Not Track (DNT) signals.

GLSI has a legitimate interest in understanding how Registered Users and other visitors use its website. This assists GLSI with providing more relevant information to our Users and Registered Users, and with providing appropriate staffing to meet Registered User and visitor needs.

Cookies and web beacons

GLSI uses “cookies” and, at times, other technology to ensure that Registered Users and website visitors have the best possible experience on our website. Our Cookie Policy explains that we believe in being open and clear about how we use your information. In the spirit of transparency, our Cookie Policy provides detailed information about how and when we use cookies on our website.

When and how we share information with others

Information about your GLSI content submission status are maintained in association with your Registered Usership or profile account. The personal information GLSI collects from you is stored in one or more databases hosted by third parties located in the United States. These third parties do not use or have access to your personal information for any purpose other than cloud storage and retrieval. On occasion, GLSI engages third parties to mail information to you, including items like scientific or medical information we think you may find relevant to your interests and practice.

We do not otherwise reveal your personal data to third-parties for their independent use unless: (1) you request or authorize it; (2) the information is provided to comply with the law (for example, to comply with a search warrant, subpoena or court order), enforce an agreement we have with you, or to protect our rights, property or safety, or the rights, property or safety of our employees or others; (3) the information is provided to our agents, vendors or service providers who perform functions on our behalf; (4) to address emergencies or acts of God; or (5) to address disputes, claims, or to persons demonstrating legal authority to act on your behalf; and (6) through GLSI Registered User Directory. We may also gather aggregated data about our Registered Users and website visitors and disclose the results of such aggregated (but not personally identifiable) information to our partners, service providers, advertisers and/or other third parties for marketing or promotional purposes.

Registered User Directory

GLSI makes Registered User information available through GLSI Registered User Directory to other GLSI Registered Users using this website. Registered Users are invited to opt-in to have their information shared in the Registered User Directory.

Transferring personal data from the EU to the US

GLSI has its headquarters in the United States. Information we collect from you will be processed in the United States. The United States has not sought nor received a finding of “adequacy” from the European Union under Article 45 of the GDPR. GLSI relies on derogations for specific situations as set forth in Article 49 of the GDPR. In particular, GLSI collects and transfers to the U.S. personal data only: with your consent; to perform a contract with you; or to fulfill a compelling legitimate interest of GLSI in a manner that does not outweigh your rights and freedoms. GLSI endeavors to apply suitable safeguards to protect the privacy and security of your personal data and to use it only consistent with your relationship with GLSI and the practices described in this Privacy Notice. GLSI also enters into data processing agreements and model clauses with its vendors whenever feasible and appropriate.

The European Union’s General Data Protection Regulation and other countries’ privacy laws provide certain rights for data subjects. A good explanation of them (in English) is available on the website of the United Kingdom’s Information Commissioner’s Office.

You may also request information about: the purpose of the processing; the categories of personal data concerned; who else outside GLSI might have received the data from GLSI; what the source of the information was (if you didn’t provide it directly to GLSI); and how long it will be stored. You have a right to correct (rectify) the record of your personal data maintained by GLSI if it is inaccurate. You may request that GLSI erase that data or cease processing it, subject to certain exceptions. You may also request that GLSI cease using your data for direct marketing purposes. In many countries, you have a right to lodge a complaint with the appropriate data protection authority if you have concerns about how GLSI processes your personal data. When technically feasible, GLSI will—at your request—provide your personal data to you or transmit it directly to another controller.

Reasonable access to your personal data will be provided at no cost to GLSI Registered Users, and others upon request made to GLSI at dpo@globallibraryofscientificimages.com. If access cannot be provided within a reasonable time frame, GLSI will provide you with a date when the information will be provided. If for some reason access is denied, GLSI will provide an explanation as to why access has been denied.

Security of your information

To help protect the privacy of data and personally identifiable information you transmit through use of this website, we maintain physical, technical and administrative safeguards. We update and test our security technology on an ongoing basis. We restrict access to your personal data to those employees who need to know that information to provide benefits or services to you. In addition, we train our employees about the importance of confidentiality and maintaining the privacy and security of your information. We commit to taking appropriate disciplinary measures to enforce our employees’ privacy responsibilities.

The safety and security of your information also depends on you. Where we have given you (or where you have chosen) a password for access to certain parts of our Website, you are responsible for keeping this password confidential. We ask you not to share your password with anyone.

Unfortunately, the transmission of information via the internet is not completely secure. Although we do our best to protect your personal information, we cannot guarantee the security of your personal information transmitted to our Website. Any transmission of personal information is at your own risk. We are not responsible for circumvention of any privacy settings or security measures contained on the Website.

Data storage and retention

Your personal data is stored by GLSI on its servers, and on the servers of the cloud-based database management services GLSI engages, located in the United States. GLSI retains data for the duration of the customer’s or Registered User’s business relationship with GLSI and for a period of time thereafter to allow Registered Users to recover accounts if they decide to renew, to analyze the data for GLSI’s own operations, and for historical and archiving purposes associated with GLSI’s history as a Registered Usership association. Changes and updates to the Privacy Notice

As our organization, Registered Usership, and benefits change from time to time, this Privacy Notice and Website Terms of Use is expected to change as well. We reserve the right to amend the Privacy Notice and Website Terms of Use at any time, for any reason, without notice to you, other than the posting of the amended Privacy Notice and Website Terms of Use on the website. We may e-mail periodic reminders of our notices and terms and conditions and will e-mail GLSI Registered Users of material changes thereto, but you should check our website frequently to see the current Privacy Notice and Website Terms of Use that is in effect and any changes that may have been made to it.

By using this website, you agree to the terms and conditions contained in this Privacy Notice and Website Terms of Use and/or any other agreement that we might have with you. If you do not agree to any of these terms and conditions, you should not use this website or any GLSI benefits or services. You agree that any dispute over privacy or the terms contained in this Privacy Notice and Website Terms of Use, or any other agreement we have with you, will be governed by the laws of the State of Georgia. You also agree to arbitrate such disputes in Georgia, and to abide by any limitation on damages contained in any agreement we may have with you.
